This Privacy Policy explains how Workzish ("Workzish", "we", "us") collects, uses and protects personal data when you visit workzish.com, book a demo, or when gyms, clubs and facilities ("Customers") use the Workzish platform, member apps and messaging features.

1. Who is responsible for your data

Workzish is a registered business that provides facility and gym management software. Our role depends on the data:

• Website visitors and demo requests: Workzish is the data controller.
• Members, staff and visitors of a gym or facility that uses Workzish: the gym is the data controller and Workzish acts as its data processor, handling the data only to provide the service and on the gym's instructions. If you are a member of a gym, please contact that gym first about your data.

2. Data we collect

• Website and demo requests: name, email, phone number, gym or business name and message you submit; basic usage and device data via cookies and analytics.
• Customer account data: staff and owner names, contact details, roles and login activity.
• Member data entered by the gym: name, contact details, membership, attendance, bookings, payments and dues, and other information the gym chooses to record.
• Messages: the content and delivery status of notifications sent through the platform (such as WhatsApp, SMS, email and in-app messages), and the phone number or email they are sent to.
• Calendar data: where a Customer connects a Google Calendar, event details needed to schedule demos or classes.

3. How we use data

• To provide, operate, secure and support the Workzish platform.
• To send service messages on behalf of gyms, such as booking confirmations, payment reminders and membership notices.
• To respond to enquiries, schedule demos and provide customer support.
• To understand how the website and product are used and to improve them.
• To meet legal obligations and to prevent fraud and abuse.

We do not sell personal data.

4. WhatsApp and messaging

Where a gym enables WhatsApp messaging, messages are sent through the WhatsApp Business Platform (Cloud API) provided by Meta. Workzish receives delivery and template-review notifications from Meta so gyms can see message status. Messages are sent only to people whose contact details the gym holds, and recipients can ask the gym to stop messaging them at any time. Use of WhatsApp is also subject to Meta's own terms and privacy policy.

5. Who we share data with

We share data only with service providers that help us run the platform, under appropriate confidentiality and data-protection commitments, including:

• Cloud hosting and infrastructure providers.
• Messaging providers, including Meta (WhatsApp) and SMS and email delivery providers.
• Payment providers used by gyms to collect payments.
• Google, where a Customer connects Google Calendar. Our use of information received from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements.
• Analytics providers for website usage.

We may also disclose data where required by law or to protect rights, safety and security.

6. Retention

We keep personal data for as long as needed to provide the service and meet legal and accounting obligations. Customer data is retained while the Customer's account is active and is deleted or returned after the account ends, subject to legal requirements.

7. Security

We use reasonable technical and organisational measures to protect personal data, including access controls and encrypted connections. No system is completely secure, and we cannot guarantee absolute security.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete or export your personal data, or to object to or restrict certain processing. To exercise these rights over data held by a gym, contact the gym. For data we control, or if you are unsure who to contact, email us at support@workzish.com.

9. Data deletion requests

To ask us to delete your data, email support@workzish.com from the address or phone number linked to your record, with the subject "Data deletion request". We will confirm the request and complete it within a reasonable time, unless we are required to keep certain data by law. Where the data belongs to a gym, we will pass the request to that gym.

10. Cookies

We use cookies and similar technologies for site functionality and analytics. You can control cookies through your browser settings.

11. International transfers

Our providers may process data in countries other than your own. Where this happens, we take steps to ensure the data remains protected.

We may update this policy from time to time. The "Last updated" date above shows the latest version.
